To start, you must set up the payroll taxes in QuickBooks Online. You can file form 941 in QuickBooks using e-pay and e-file. With QuickBooks Online Payroll, you can choose how you want your payroll taxes and filings handled.

a. Complete your tax setup
Before you can e-pay or e-file payroll taxes using QuickBooks Online, you must complete your payroll tax setup. If everything is set up, move to the next step.
b. E-pay your taxes
You will receive an email when your taxes are coming due.
Keep in mind that the IRS and state agencies pay your taxes at different times. In that case, you may need to e-pay them at least 5 business days before the due date.
Note: Make sure your account has sufficient funds when your payroll taxes are due and to create the tax payment.
• Navigate to Taxes and then choose Payroll tax.
• Hit on Payments.
• Select Action Needed, and you will see a list of taxes due. You will see Taxes due in the Coming Up. You can also Filter to find the specific tax you want to pay faster.
• Choose Pay on the tax you want to pay.
Note: When you make late payments to the IRS, some states might block you. You need to contact the specific state to make the payment.
• Make sure your Payroll account is set to the correct Bank account in QuickBooks (this doesn’t impact the actual bank account you use).
• Check the payment date. You can also select a different date if needed.
• Hit on E-pay.
• To review all the payments you made, select Payment History.
c. E-file your tax forms
941 and other state unemployment tax forms are typically submitted each calendar quarter. However, other state withholding tax forms are due at the end of the year. You will receive reminders from QuickBooks when these are due.
Note: You can e-pay and e-file some taxes and forms simultaneously, like state unemployment, using the steps below.
